The legal framework and everyday practice
What the standard requires for grease traps
Grease separator systems in Germany fall under the standard DIN 4040-100. It provides that the system is emptied and cleaned regularly, normally once a month, and that it is serviced and checked once a year by a competent person.
In addition a general inspection is provided for roughly every five years. The system is emptied, cleaned and checked for watertightness and structural condition.

Why the records matter so much
A separator system comes with a record of emptying, servicing and inspections, usually called an operating log. At an inspection that is normally the first thing asked for.
So keep these papers complete and within reach and note every emptying with a date. It takes little time and saves arguments later.
Oil separators are a different matter
Separators for light liquids, meaning oil and petrol, fall under DIN 1999-100. They are typically found in workshops, car washes, petrol stations and underground garages.
Here too regular emptying, annual servicing and a recurring general inspection are provided for. The contents are different and have to be disposed of accordingly.

Common questions about separators
How often does a grease trap have to be emptied?
The standard normally provides for monthly emptying and cleaning. How much your system actually copes with depends on the size of the kitchen, the menu and how busy you are. What counts is always the permit for your system.
What happens if I let the emptying slide?
First it smells. Then grease moves into the pipe behind the separator and blocks it, which means blockages and, at worst, sewage backing up into the kitchen. At an inspection, gaps in the records are also picked up.
Can I empty the separator myself?
The contents are waste and have to be disposed of through an approved route. That is exactly what we come with the vacuum truck for. What you can do yourself is keep an eye on the system and keep the records.
Does the kitchen have to close while you work?
The system is not available while it is being emptied. That is why we try to book the visit for a time when little is going on. Tell us when that is when you book.
What is a general inspection?
A more thorough check that goes beyond the annual servicing. The system is emptied, cleaned and checked for watertightness and structural condition. The standard provides for this roughly every five years.
